The Problem

Like most RIAs, the firm’s technology stack grew one purchase at a time and was never standardized or integrated. Custodian and third-party money manager sites held portfolio and account data. Orion pulled those sources together for householding and aggregated performance reporting. eMoney held the financial planning detail. Redtail tracked activity. Email held years of useful but unstructured correspondence, and documents lived in a mix of local folders and shared repositories.

Every one of those systems had to be visited, in the right order, to assemble the full picture and current status needed to run the firm’s core processes:

  • Preparing for client meetings
  • Facilitating client onboarding
  • Portfolio review and reporting
  • General client service across phone calls, emails, and texts
  • Tax planning
  • Financial planning
  • Required minimum distributions
  • Compliance reviews and audits

The result: advisors and staff spent their time gathering and re-keying information rather than acting on it, and leadership had no single view of activity across systems.

The Solution

Teammate AI built a unified platform on three principles: all of the firm’s data in one place, natural-language AI chat over that data, and automated workflows that carry the firm’s processes from trigger to deliverable.

The firm defines its own processes, required inputs, templates, approval steps, service levels, and outputs. Playbooks can differ by client segment, so Private Wealth, Core, High-Net-Worth, Institutional, Business Owner, and Retiree clients each follow the process the firm designed for them. Those definitions are encoded in the AI system so that it:

  • Knows each workflow and the steps within it
  • Knows the data inputs required and the outputs expected
  • Knows the document types and templates used for client deliverables

Client Meeting Preparation

When an advisor prepares for a meeting, the system pulls data from every connected source into a single, customizable dashboard showing everything the advisor cares about for that household. It also produces a first draft of the firm’s templated meeting agenda, populated from that data and the agenda items the advisor wants to cover.

Tax Planning and Tax Document Collection

During tax planning, the advisor sees all relevant data in one place and works with an AI assistant on scenario planning, producing analysis documentation for internal use or for the client.

When it is time to collect 1099s, K-1s, 5498s, and 8606s, the platform tracks which documents have been received and which are still outstanding, names and files each document in the firm’s repository, and delivers copies to the client and to third-party professionals such as accountants and attorneys, all without manual intervention.

Financial Planning and Document Gathering

For producing and maintaining a financial plan, the system knows which documents are required, which have arrived, and who still needs a reminder. When a separate planning department is involved, advisors and planners collaborate inside a shared planning project with the client’s data already attached.

Form and Document Automation

The platform pre-populates firm forms, custodian forms, presentations, and other documents from the complete aggregated data set. It also works in the other direction: it ingests and reads incoming forms and documents such as outside statements, W-2s, and 1099s, extracting the data into the client record.

The Unified AI Workspace

Because all of the data is brought together, the platform provides a general workspace organized into three areas:

  • Personal: a general AI workspace for individual analysis and work product. Advisors chat with the AI in natural language about anything: planning questions, document review, or drafting deliverables.
  • Clients: consolidated client views where every piece of data for a single household is aggregated. Advisors ask questions about a specific client in natural language, with the AI drawing on the full record. If the platform has the data, it can answer the question.
  • Projects: collaborative work around a specific outcome, where advisors and team members share chats, documents, and client context toward a defined goal.

Firm-Level Intelligence

At the highest level, the platform gives management a consolidated view of information and activity that normally lives across multiple systems. The goal is not to recreate the dashboards and operational reporting that already exist in the CRM, but to surface what those tools cannot show on their own because the underlying data sits in different places.

The Process

  1. Custodian and money manager sites, Orion, eMoney, Redtail, email, and document repositories are connected to the platform.
  2. Data is aggregated, householded, and organized into a single client record.
  3. The firm’s processes, templates, approval steps, and service levels are defined per client segment.
  4. A trigger such as an upcoming meeting, a planning engagement, or tax season starts the appropriate workflow.
  5. The system assembles the data, drafts the deliverables, tracks documents, and routes work for approval.
  6. Advisors and staff review, refine, and collaborate in the Personal, Clients, and Projects workspaces.
  7. Outputs are delivered to clients and third parties, and activity is written back to the CRM.
  8. Management sees consolidated firm-level activity across all connected systems.
